The 7-Point Equipment Acceptance Checklist: From Thermo Fisher Centrifuges to Checkweighers

Who This Checklist Is For

If you're the person signing the delivery receipt for a lab instrument, an inspection device, or even a handheld meter, this checklist is for you. I review equipment deliveries for a living—roughly 200 items a year, maybe 180 if I'm being honest. Over the last 4 years, I've cooked this down to 7 steps that catch 95% of the problems before they become yours.

Whether it's a Thermo Fisher benchtop centrifuge for the lab, a checkweigher for a packaging line, or an ENT microscope for a clinic, the principle is the same: don't accept it until you've checked it. Here's what I do.

1. Read the paperwork before you touch the box

Before you cut tape, find the packing slip, the purchase order, and the delivery receipt. Compare serial numbers. If the packing slip says a calibration certificate is included but you don't see one in the box, stop. Missing paperwork is the #1 cause of failed audits.

I also watch for claims on the packaging—'calibrated,' 'certified,' 'Made in USA.' Per FTC guidelines, claims like that need substantiation. A certificate in the box is the substantiation. If it's not there, the claim is just marketing.

2. Photograph the box from every angle

This is the step that often gets skipped. Don't skip it. When a $18,000 ENT microscope arrived with a dented corner, the carrier wanted photos from before opening. I had them. The claim took 5 minutes instead of 3 weeks.

I still kick myself for the one time I didn't photograph a shipment before handing the driver a signed receipt. Never again.

3. Verify the exact brand and model—not just the parent company

This one matters more than you'd think. Thermo Fisher brands aren't interchangeable. A Thermo Scientific™ benchtop centrifuge is not the same spec as an Applied Biosystems™ instrument, and an Invitrogen™ product is different from a Pierce™ reagent. The parent company name on the box doesn't tell you which line you're dealing with.

Before accepting, confirm the brand and model number on the actual unit matches what you sourced. I once had a distributor list something as 'Thermo Fisher' and ship a different brand line entirely. The specs weren't right. We caught it because we checked the nameplate.

4. Unbox and inspect against the packing list

Unbox everything onto a clean table. Use the packing list as your bible. Check every component, every accessory, every screw. For an ENT microscope, that means the eyepieces, the fiber optic cable, and the dust cover. For a benchtop centrifuge, check the rotor, buckets, and rotor lid. For a checkweigher, inspect the load cells and any guards.

Take photos of the contents as you unbox. It sounds paranoid, but it makes disputes painless.

5. Check the nameplate and compliance labels

Look at the power rating. Does the voltage match your lab's supply? What about CE, UKCA, or UL markings? If you're in a regulated industry, record the certification numbers. I learned this the hard way: don't trust the catalog photo. The unit on your bench may have been built for a different region.

Also, if the packaging says 'recyclable,' keep in mind the FTC Green Guides require that claim to be accurate for most consumers. Not your main concern, but it matters if you track sustainability metrics.

6. Run a functional test before sign-off

Ten minutes of testing now saves ten weeks of regret later. For a centrifuge, load balanced tubes and run a five-minute spin at max speed. For a checkweigher, pass certified test weights through. For a microscope, check focus, illumination, and image clarity.

And for handheld meters—like when a tech asks about a Klein vs Fluke multimeter—don't decide based on brand loyalty. Check the CAT rating, accuracy, and warranty against the application. I've rejected 'brand name' meters because the CAT rating wasn't high enough. Good meter. Wrong spec.

7. File the documentation before you put it into service

Scan the certificate, packing list, and test results into your asset management system. Note the warranty start date. For rental instruments, check the rental agreement for calibration responsibilities. Looking back, I should have done this from day one at my current job. We had three devices with no calibration history because nobody filed the paperwork. Recertifying all three cost us real money.

Common mistakes I still see

  • Skipping the outside photos. That one photo is worth a thousand words when the carrier shows up.
  • Testing before reading the manual. Modern instruments often have startup sequences that you can't just guess.
  • Trusting verbal promises. If a sales rep says 'we'll send the certificate later,' write it on the delivery receipt. If it's not in writing, it didn't happen.
  • Forgetting accessories. Rotors, columns, pipettes, calibration weights—they all have their own part numbers and shipping lines.

A little discipline at the receiving dock saves a lot of pain later. It took me about 150 orders to learn that the checklist isn't bureaucracy—it's insurance. An informed customer asks better questions and gets better outcomes.
