Thermo-Fisher Lab Equipment Checklist: HPLC Columns, Pressure Transmitters, and Fluke Multimeter Basics

This checklist is for when you need to buy or verify lab equipment without overcomplicating it. Maybe you're replacing an HPLC column, evaluating an iPhone thermal camera, installing a differential pressure transmitter, or training someone who has never used a Fluke multimeter. This is the list I wish someone had handed me when I started managing our instrument budget. It has five steps, and each step ends with a check you can do in the next three minutes.

I run procurement for a 40-person analytical testing lab. Over the past six years, I have managed about $180,000 a year in lab equipment and consumables, tracked every invoice in our cost system, and negotiated with more than 25 vendors. That doesn't make me the smartest person in the room. It just means I have made the expensive mistakes so you don't have to.

I didn't start with a checklist. I started with a stack of quotes and a vague sense that spending more would fix everything. It didn't. The items below come from the times when the 'cheap' choice cost real money, and the times when the 'premium' choice did not do what we needed.

The Checklist

1. Start with the spec that actually matters

If you're searching for 'HPLC columns caps Thermo Fisher', resist clicking the first result. The first question is not price. It's whether the column hardware matches your system. Column inner diameter, length, particle size, and end fitting type determine whether the column even works in your instrument. The cap style matters less than you think, until you reuse an old cap and dry out the packing material.

My rule: send the part number from your current column, not just the product family. 2. Calculate total cost, not list price

When comparing quotes, put everything in one spreadsheet: base price, shipping, setup, delivery lead time, warranty, calibration certificate, and the consumables you will need in the next year. A 'free setup' can hide $450 in validation and disposal fees. In Q2 2024, when we switched vendors on our quarterly consumables order, we saved around $8,400 annually, which was roughly 17% of our consumables budget. But the quote with the lowest base price would have made us buy a different bottle cap adapter, and that cost would have erased the savings.

Why does this matter? Because the line item you forget is the one that makes you look bad in the monthly review. A low quote is not a low total cost until I see every fee in writing.

I have a spreadsheet template I use for every quote. It looks boring, but it catches the same kind of hidden fee every time. Last year it caught a $300 'documentation' charge that no one had mentioned before the PO was issued. The finance team thanked me. That feeling almost makes all the vendor calls worth it.

3. Verify before you install

For a differential pressure transmitter, don't trust the label. Check the range, output signal and protocol (4-20 mA, HART, for example), and whether the calibration certificate is current. A calibration cert from the original manufacturer is useful. A photocopy from a reseller is sometimes just a photocopy. Ask to see the file before you pay.

For electrical checks, you need to know how to use a Fluke multimeter. A Fluke isn't magic, it just works, but only if you set it correctly. Here's the quick version:

  1. Set the dial to V DC, not V AC. For a 24 V loop, that is the range that matters.
  2. Plug the black lead into COM and the red lead into the V/ohm jack.
  3. Touch the test leads across the transmitter terminals.
  4. Read the voltage. If you are using a 250 ohm resistor to test a 4-20 mA loop, multiply the resistor value by the loop current. I want to say it is 1-5 V for a 4-20 mA loop on 250 ohms, but don't quote me on the arithmetic, check it yourself.

And if you are thinking about an iPhone thermal camera to catch hot spots on panels or bearings, use it as a screening tool, not as a precision measurement instrument. A compact thermal camera shows you where a problem probably is. It should not be the only evidence you hand to a contractor. Not ideal, but workable for a first pass.

4. Rent or buy? Do the math both ways

For expensive, rarely used instruments, rental can be the right answer. Thermo Fisher Scientific has rental/leasing programs for Raman microscopes and other large instruments, and the same logic applies to any vendor. Ask yourself four questions. Will you use it more than 20 hours a month? Buy it. Is the need temporary or project-based? Rent it. Would a service call turn into a costly rental extension? Buy it. Is your budget cap against capital equipment but not operating expense? Rent, because it makes accounting easier.

The 'Thermo Fisher is only for big pharma' idea comes from an era when you had to call a sales rep and ask for a quote. Today, the catalog and rental options are transparent. That changed. At least, that is my experience for the instruments we use.

If the rental includes setup and training, the effective hourly cost is sometimes lower than buying. I have seen rental agreements that looked expensive until we added the cost of our own time to install and qualify a purchased instrument. That math decides most of our decisions.

5. Look for a vendor who knows their boundary

The strongest signal I get from a vendor is when they say, 'This isn't our strength, here is who does it better.' That happened twice in six years, and both times that vendor earned my trust for everything else. I would rather work with a specialist who knows their limits than a generalist who overpromises and underdelivers.

This applies internally, too. If you need an HPLC column from Thermo Fisher, ask whether the salesperson has run a chromatography method. If not, get technical support on the line. If you are buying a differential pressure transmitter, ask whether the supplier can service it or whether it has to go back to the factory. 'Serviceable' might mean 'they will send you a box,' and that matters for your downtime calculation.

Per FTC advertising guidelines, claims like 'best price' or 'guaranteed delivery' should be truthful and substantiated (ftc.gov/business-guidance/advertising-marketing). I don't need a lawyer to invoke that. I just ask for it in writing. If a vendor hesitates, that's my answer.

I trust a vendor who can tell me when they cannot deliver. If someone says 'we can do all of it' without a single question about our process, I assume they have not looked closely enough. That is not a criticism of sales teams; it is a warning sign of scope creep.

Common Mistakes I Keep Seeing

  • Buying a column without checking the end cap or hardware type. I no longer assume 'compatible with most systems' means compatible with ours.
  • Assuming every differential pressure transmitter comes with a current, adjustable calibration. Most do, but 'do' needs to be on the quote.
  • Using an iPhone thermal camera as a final quality document. It is a screening tool, not a metrology report.
  • Skipping the DC setting on a multimeter and reading AC voltage. The loop is DC, and a 0 V reading on AC is meaningless.
  • Choosing a vendor solely on the base quote. The last time I did that, I spent $1,200 on a redo when the 'budget' option failed under a real load. Actually, make that $1,400, I'm mixing it up with another project, but you get the point.

If you have a question about your specific setup, send the vendor a list before you commit. A good answer tells you whether they know their product, and a better answer tells you what can go wrong. You want the second kind.

And if you find a vendor who answers the 'what can go wrong' question honestly, stay in contact. They are rarer than a perfectly packed column.
